How to Create an Invoice

  1. Add your business details. Name, email, address and, if you use one, your Tax ID or VAT ID.
  2. Add the client. Company or client name and their billing details.
  3. Set the invoice details. Invoice number, invoice date, due date or payment terms, and currency.
  4. Describe the work. One line per product or service with quantity and rate. Use decimals for hours, for example 2.5.
  5. Apply discount and tax. Choose a percentage or fixed discount, and mark tax as inclusive when your prices already include it.
  6. Download or print. “Download PDF” creates a clean document you can email to your client.

What Should an Invoice Include?

A typical invoice contains the following, though exact requirements vary by country:

  • The word “Invoice” and a unique invoice number
  • Your business name and contact details, plus tax registration where applicable
  • The client’s name and billing details
  • The invoice date and the payment due date
  • Line items: what was sold, quantity, unit price and line amount
  • Subtotal, discounts, taxes, shipping and the total
  • Payment instructions and any amount already paid

Invoice requirements vary by country and jurisdiction. Check the requirements that apply to your business.

How Invoice Totals Are Calculated

The generator calculates money with decimal arithmetic — never floating point — so the preview, the PDF and a saved draft always match.

  • Line amount: quantity × rate, rounded to the currency’s decimal places
  • Subtotal: the sum of the rounded line amounts
  • Discount: a percentage of the subtotal or a fixed amount, never below zero
  • Tax (exclusive): tax rate applied to the discounted amounts and added on top
  • Tax (inclusive): tax already contained in your prices, extracted from the discounted amounts
  • Shipping: added after tax
  • Balance due: total minus the amount paid

When different lines use different tax rates, the discount is allocated proportionally across the tax groups before tax is calculated.

Invoice Example

Website design — 2 × $499.99

Subtotal$999.98
Discount (10%)−$100.00
Tax (20%)$180.00
Total$1,079.98
Amount paid−$0.00
Balance due$1,079.98

Try the same numbers in the generator above — the preview updates as you type and the PDF shows identical figures.

When Should You Send an Invoice?

Send an invoice when the work is delivered or when the agreed billing period ends — before or after payment, depending on your terms. Many businesses invoice on delivery, others invoice monthly or on milestones. If you require a deposit, invoice it separately or record a payment on account.

Invoice vs Receipt

An invoice asks for payment and states what is owed. A receipt confirms that payment has been made. If you want one document to show both, record the amount received in the “Amount Paid” field: the balance due updates and the document shows what is still outstanding.

Frequently Asked Questions

Is this invoice generator really free?

Yes. Creating, previewing, printing and downloading invoices is free, with no signup, no watermark and no limit on the number of invoices. The invoice builder area contains no ads.

Is my invoice data private?

Your invoice data is processed in your browser and is never uploaded to a server. The PDF is generated on your device. Nothing you type — client names, amounts, notes — is sent to us or used for analytics.

Can I save an invoice and come back later?

Yes. “Save Draft” stores the invoice on your device (in your browser’s local storage). You can reopen it later and delete saved drafts at any time from the same toolbar.

Does the PDF contain ads or buttons?

No. The PDF is a clean invoice document generated from your data. It never contains ads, editor controls or website navigation.

Which currencies are supported?

The generator supports 21 currencies including USD, EUR, GBP, CAD, AUD, JPY, CNY, INR, CHF, TRY, BRL and more, with the correct number of decimal places for each currency.

What file formats can I use for a logo?

PNG, JPEG or WebP up to 2 MB. The image is resized in your browser and embedded into the PDF — it is never uploaded.
