- One line per engagement, phase or milestone, described in client-friendly language
- Hourly billing with hours as quantity and your hourly rate as the rate
- Retainers shown as a fixed line, with the period in the invoice description
- Pre-approved expenses listed separately so they can be reviewed
- Payment terms that match your contract — for example Net 30 or due on receipt
A clear description avoids slow payments
Accounts payable teams pay faster when the invoice matches the contract. Use the description and PO number fields to reference the agreement or statement of work, and keep the item descriptions specific — for example “Strategy workshop — phase 2” rather than “consulting”.
Example
A consultant bills a two-day workshop: quantity 2, rate 1,800 in the selected currency, plus a travel expense line. A 10% withholding or tax rate can be applied on top, and the amount paid field tracks a deposit already received — the balance due is calculated automatically.
